How we work · proof first

Everyone sells you a deck.
We prove the software.

The gap between "we should automate that" and a system that actually removes the work is where most projects die — in strategy decks, pilots that never ship, and open-ended invoices. Proofworks closes it end to end: we work out what's worth automating and why, then prove the return on one of your real processes before you commit a penny to the build.

Why we're different

Not a consultancy. Not another SaaS seat.

You've been offered both before. Here's what changes when the people advising you are the same people who build and run the thing.

Management consultancy Off-the-shelf software ProofworksOperators, not consultants
What you get A strategy deck and a to-do list A generic tool you bend to fit A prioritised plan — and the working software that delivers it
Proof of value Arrives after the invoice A free trial you have to staff yourself Proven on your own data before you commit
Pricing Open-ended day rates Per seat, forever Fixed price per stage, scoped up front
Your data Off to their cloud and tools Sits on their servers Stays in your own cloud
Time to live Quarters Fast to buy, never quite fits Live in weeks
Getting the team to use it Left in your court Your problem — here's a login Built in — 30 years of knowing what a team will actually adopt
When it's done They leave with the retainer You're on your own We stay and compound it — next process, next win
Strategy first

We start with strategy, not software.

The hard question isn't "can we automate this?" — it's "what's worth automating, and in what order?" That's a strategy call, and it's where we start. Get it wrong and you've built the wrong thing beautifully. The strategy decides the automation — never the other way round.

Map the operation

We follow how the work actually flows — not the org chart — to find where time, cash and margin are leaking.

£

Rank by what it costs

Every pain point sized by what it's costing you, so the biggest return comes first — not the loudest voice in the room.

Sequence the roadmap

A prioritised plan of what to automate and when, so one win funds the next instead of a single big-bang bet.

The Proof Engine

Find the leak. Prove the fix. Build it. Then keep it compounding.

The Proof Engine is our repeatable path from "this process is costing us" to a system that runs every day — the same three stages every time, with a decision point at each, so you only go as far as the numbers justify.

Map & prioritise

Pre-stage · before the EngineOptional · half-day · free intro first

Before anyone writes code, we map how your operation actually runs and find where the hours, cash and margin are leaking — then rank those pain points by what they cost. You get a clear, prioritised view of what's worth automating and in what order, so you fix the highest-value process first, not the loudest. The strategy decides the build.

1

Prove

Take one real process. Build the working loop. Quantify the return.

2

Build

Connect it properly to the business, secure it, deploy it.

3

Run

Monitor it, support it, improve it, keep the return compounding.

The three engagements

Three fixed-scope stages. You only pay for the ground you're ready to take.

Each stage stands on its own, with a clear deliverable and a fixed scope. Most clients start at Prove and let the numbers decide the rest.

01 PROVE

Prove

Fixed scope / 2 weeks or less, on your own data

For the business that knows a process is broken and wants the return proven — on their own data, in a couple of days — before committing to a build.

What you get
  • A working demo of the core loop, in 2 weeks or less
  • The ROI, quantified on your real numbers
  • Process outline, risks & assumptions
  • What data & systems the full build will need
  • A straight recommendation on the next stage
◆ You leave with

Certainty. A real system you've seen work, and a number you can trust — before you spend on the build.

Most start here → build
02 BUILD

Build

Fixed scope / quoted up front, yours to keep

For when the proof has landed and it's time to turn the demo into the system that runs the process for real, every day.

What you get
  • The full automation, built around your process
  • Wired into your real systems and workflows
  • Tested on your real data before go-live
  • Deployed inside your own private cloud (VPC)
  • Adoption built in — SOPs, handover, team support
  • Yours to keep on full payment — no per-seat trap
◆ You leave with

A working system removing the work — not a pilot that quietly dies, and not an invoice with nothing to show.

03 RUN

Run

Optional / monthly · cancel anytime

For the compounding — keeping the system sharp, and turning one win into a rolling programme of them.

What you get
  • Managed & monitored inside your own cloud
  • Ongoing improvements as the work changes
  • Model & system kept current — never left to rot
  • A roadmap of where to automate next
  • The next process built when you're ready
  • Cloud & model usage billed direct by your provider — never marked up
◆ You leave with

A partner on the inside, not a support desk — and a programme that keeps paying back long after go-live.

Exact scope and cost are fixed and agreed in writing before any build begins — no open-ended meter.

Adoption · where it's won or lost

Automation doesn't fail on the tech. It fails when the team never uses it.

The demo always works. Six weeks later, half the team has quietly gone back to the spreadsheet. Getting a busy site or ops team to actually change how they work is the hard part — and after 30 years in facilities management and construction, it's the part we understand better than anyone selling you software. Adoption isn't an afterthought on a Proofworks build; it's a stage in its own right.

It fits how they already work

We build the system into existing routines and tools — not one more thing to log into and resent.

SOPs & a clean handover

Written the way a site team actually reads them, so the knowledge never lives in one person's head.

Champions on the floor

We find and back the people whose buy-in turns "the new system" into just "how we do it now".

We stay until it sticks

Adoption is measured, not assumed — we're there through go-live and beyond until it's the default.

30years
Operators, not consultants

Built by someone who’s run the sites and felt the friction.

Proofworks is led by its founder — decades spent inside facilities management, construction, energy, bids and commercial operations, doing the work, not documenting it: the jobs, the SLAs, the quotes, the compliance, the chasing. Thirty of those years in FM and construction.

That's why we don't start with technology. We start with what a broken process is really costing you — because we've lived it. We know an FM contract from a slide, and we know the difference between a clever demo and a system a team on site will actually use.

Who we build for

Operationally painful, admin-heavy businesses.

We're at our best where an owner or MD knows a process is broken but has no internal tech team to fix it. We've already designed and built real systems across a range of industries.

Bidding & professional services

Quoting, proposals, tender screening and evidence-backed answers.

Facilities management

SLA guardianship, job chasing and escalation before a breach.

Energy & decarbonisation

Opportunity discovery, project scoping and ranked pipelines.

Compliance-heavy operations

Certs, renewals and audit packs tracked and assembled automatically.

£

Finance & admin functions

Invoice chasing, reconciliation and the end of double entry.

Contractors & property services

Reports, document packs and the operational glue between systems.

Private by default

Your data never leaves your environment.

Every engagement runs inside your own private cloud. Your documents, customer data and IP stay where they live — under your control, never shared, never used to train anyone's models. We're Cyber Essentials certified.

🔒

Deployed in your VPC

The whole system runs inside your cloud account. You own where it lives and who reaches it.

The models run in your cloud too

Even the intelligence runs inside your environment — nothing sent to a vendor, nothing used for training.

Straight answers

The questions we get asked first.

What does the free audit actually involve?

A 30-minute call. You describe the process that annoys you most; we tell you what removing it is likely worth and what we'd prove first. No deck, no obligation, no charge.

Why pay for the Prove stage at all?

Because it's built on your data and it de-risks a much bigger decision. The Prove stage gives you a working system and a real number before you commit to the build.

How is this priced — will it run away from me?

No. Every stage is fixed-scope and fixed-price, agreed before any work starts. There's no open-ended day-rate meter and no per-seat licence that grows forever.

Where does our data go?

Nowhere you don't control. We deploy inside your own private cloud. Your data stays in your environment and is never used to train anyone's models.

Do we own what you build?

On full payment of the Build, the system is yours to keep. Run is an optional monthly arrangement to manage, monitor, improve and extend it — cancel anytime.

How fast is "weeks, not quarters"?

Faster than a standing start, because we reuse proven patterns from the real platforms we've already designed and built. Prove in 2 weeks or less; full builds shortly after.
